Assistant
The
Foundation:
The
California Community Foundation (“CCF”) is a nonprofit grant making foundation
that administers approximately 1,400 individual charitable funds to meet existing
and emerging needs in the Greater Los Angeles area. Founded in 1915, CCF is one
of the largest and fastest growing community foundations in the United States.
With assets in excess of $1.3 billion, CCF awarded grants in excess of $100 million and received
about $150 million in contributions during its most recent fiscal year. In partnership with its donors, the foundation supports
nonprofit organizations and public institutions with funds for arts and
human development, neighborhood revitalization, education, and health
care
programs.
Position
Description Summary:
The Civic
Engagement Assistant is a full-time non-exempt position reporting to the VP
Civic Engagement, which provides administrative and project support to the
Civic Engagement department of the California Community Foundation
(“CCF”).
Major
Responsibilities:
- Administrative Support: Provides administrative and secretarial
support for the civic engagement unit of the department. This includes processing and responding
to routine correspondence; answering and making phone calls on behalf of
department staff; recording and transcribing meeting minutes; creating and
maintaining mailing lists; ordering supplies; copying and printing of
documents, etc.
- Project Support for Civic
Engagement: Assists with research, field work, and
interviews for special projects; develops and maintains project schedules
to ensure timely completion of tasks; responds to external requests for
information and materials on CCF projects; assists with website updates
and collecting website-related data.
- Mailing Lists: Develops and maintains CCF’s mailing
lists for different projects, using Blackbaud
Raiser’s Edge 7, MicroEdge Gifts and other
sources. Works with other
departments to add new records and update existing records. Manages civic
engagement mailings and coordinates external mass mailings with CCF’s mail
house.
- Events: Assists with the production of
invitations, postcards, and other materials needed for events in civic
engagement or programs, coordinating with other department staff and
outside designers as needed.
- General: As appropriate, works as a
member of interdepartmental teams to ensure the effective and efficient
operations of the Foundation. As
appropriate, attends meetings of other departments to understand their
current work and to share information on administrative operations. At all times, demonstrates cooperative
behavior with supervisors and coworkers. Other duties as assigned,
dependent on organizational needs and employee skills.
Qualifications:
- Experience: 3-5 years of experience as an
administrative assistant, preferably at a nonprofit organization.
- Education: Associate of Arts degree or equivalent
experience is required. A
Bachelor’s degree in business administration, business English or related
subjects is preferred.
- Communication Skills: Superior
interpersonal, verbal and written communication skills are required.
Conversational fluency in a second language is desirable. Ability to compose correspondence and
basic reports; use proper English grammar and punctuation; edit and proof
read as needed. Excellent telephone
and customer service skills. A
proven ability to interact with people from diverse backgrounds, including
nonprofits, donors, board members and CCF staff is required.
- Computer Skills: Strong computer proficiency, including
mastery of all Microsoft Office software is required. Familiarity with database and desktop
publishing software is also required.
Successful candidate must have experience with or a willingness and
ability to learn CCF’s database software; Blackbaud
Raiser’s Edge 7 and Microedge GIFTS.
- Organizational Skills: Excellent organizational and time
management skills with a strong attention to detail are required. A demonstrated ability to prioritize
work effectively and adjust to multiple demands is essential.
- General: Highly motivated, with the
ability to participate as an effective team member and follow tasks
through to completion.
Compensation:
Starting
salary range: $35,000 - $40,000 DOE. A
generous benefits package is provided to all full-time staff. This position is available immediately. Please note that relocation and interview
travel costs cannot be reimbursed or paid by the foundation.
