The Foundation:
The
California Community Foundation (“CCF”) is
Position Description Summary:
The
Communications & Marketing Assistant performs a wide variety of support duties in the External and
Donor Relations
Department of the California Community Foundation (“CCF”). This position reports to the Director of
Communications, and provides some support to the Communications Associate
and Writer/Editor. Administrative
responsibilities can be expected to account for 80% of this
position’s time.
Additional duties include writing, researching and editing for CCF’s publications, assisting in Web
operations and marketing projects. This
position has been funded for the period July 1, 2008 to June 30, 2009 and may
or may not be funded beyond that date.
Employment with California Community Foundation beyond June 30, 2009 is
not guaranteed.
Major Responsibilities:

General Administrative Support: Provides administrative
support to the communications team including: maintaining department calendar, composing, processing and
expediting correspondence; answering phones; processing mailings; creating and
maintaining department files; scheduling meetings and conference calls;
ordering supplies; copying documents; processing fax and messenger
communications; making travel arrangements; processing invoices, check requests
and expense reports; and researching and managing vendors. Assists with various
departmental projects, including research, responding to external requests for information and materials, event
planning and database projects.

Publications:
Supports planning, production and distribution of CCF materials including
Annual Report and newsletter.
·
Web site: Assists the
Communications Associate and Writer/Editor with maintenance of CCF’s Web site
by making data updates, creating graphics, scanning and resizing photos,
creating PDF files, drafting text and making regular content updates.

Marketing:
Supports planning, implementation and evaluation of marketing efforts
undertaken by the team and/or department.

Mailing Lists: Extracts from CCF’s mailing lists in Blackbaud Raiser’s Edge 7 and MicroEdge
GIFTS. Works collaboratively with other departments to collect respective
mailing lists. Creates unique mailing lists for different projects as needed,
manages Communications mailings and coordinates the team’s external mass
mailings with the mail house.

Media Outreach: Conducts regular news scans
for mention of the foundation and/or its grantees and other philanthropic news
items.

Archive/Library: Produces and maintains CCF
press clipping binder. Manages reprints of newspaper and magazine
articles. Maintains the visual media
library. Drafts monthly press clippings roundup memos.

Departmental Representation and Support:
Serves as an internal resource to other CCF departments on
communications-related issues. Serves as a departmental representative at other
departments’ meetings.
Qualifications:
·
Experience:
At least two
years of professional experience, preferably in a
communications or marketing-related job.
·
Education: B.A. degree, preferably in English, journalism,
public relations, marketing, political science, American studies or a similar field.

Communication Skills:
·
Technology Skills: Internet competency and strong
computer proficiency, including mastery of the Microsoft Office software suite.
Familiarity with database and desktop publishing software. Candidates with
knowledge of html and experience with Contribute, Blackbaud Raiser’s Edge, Microedge
GIFTS, Photoshop, Quark and/or Dreamweaver will be given preference.

Project Management Skills: Ability to
plan and implement multiple projects simultaneously. Ability to prioritize work effectively, adjust to fast-faced
workplace and attention to detail.

Team Work Skills: Ability to work effectively in a team setting,
especially across departments within an organization.
·
Marketing Skills: Proven record of successfully planning, implementing and evaluating marketing projects such as segmenting audiences,
researching their needs and preferences and tailoring the message and information accordingly.

General: Highly motivated, with the ability to work
independently, take initiative, participate as an effective team member and
follow tasks through to completion.
Compensation
$35,000 - $45,000 dependent
on experience (prorated from hire date through termination). A generous
benefits package is also provided. Note
that travel and relocation costs cannot be paid by the foundation.
